Cohorts and Reassignment

Group students, map program delivery, assign sections, move students, and copy academic setup forward.

Cohorts

Cohorts group students for an academic period. They make it easier to enroll a group of students into the same sections without selecting every student one by one each time.

  • Adding students to a cohort can enroll them into the cohort sections.
  • Assigning a section to a cohort previews related-section expansion before enrolling eligible cohort students.
  • If the selected section is related to other sections, the cohort offering adds those related sections too.
  • A student can be excluded from a cohort section when they should not attend that class.
RoleCohort access
Admin/Sub AdminCan create, update, assign sections, add students, and manage cohort placement.
Manager/TeacherCan read academic cohort context and include/exclude students only in assigned section workflows where allowed.
Student/GuardianCan see cohort context only as part of their own or linked-student records.
Finance ManagerNo cohort management access.

Standalone or program-mapped cohort

A cohort can remain standalone or represent students moving through one program stage in the selected institute cycle.

  • Choose Standalone when the group does not belong to a defined program.
  • Choose Program mapped when the group follows a program curriculum stage.
  • From a program detail page, use Add cohort on a stage offering to start cohort creation with the cycle and stage already selected.
  • The stage offering must reference the same institute cycle as the cohort offering.
  • The stage must belong to the selected program offering and curriculum context.
  • Student major progression and cohort placement are related but remain explicit records; changing one does not silently rewrite the other.

Cohort and section reassignment

Reassignment moves selected students from one cohort or section into another. It can move students to a later academic cycle, move them within the same cycle, or demote them when needed. Use this utility for real transfers so the source enrollment is closed historically and the destination enrollment becomes current.

  • Attendance, grades, submissions, and enrollment history from the source section are preserved.
  • The source section can be marked excluded when it should appear as history but not contribute to transcript GPA, CGPA, rank, or merit.
  • Previous-section attendance stays attached to the previous section. Destination-section attendance starts after transfer.
  • Do not remove and then add a student when the intent is a transfer; that loses the explicit transfer decision context.
  • Missed destination assessments before the transfer date are handled with explicit transfer exemptions instead of automatic zero marks.
ChoiceEffect
Preserve and includeOld-section finalized results remain historical and can contribute to transcript and merit. Use only when school policy says the completed old-section work counts.
Preserve and excludeOld-section records remain visible but do not contribute to GPA, CGPA, rank, or merit. Use when the section is only context after transfer.
Remove onlyCloses the live enrollment and preserves records. Use for withdrawal from a section, not for transfer to another section.
TransferCloses the source enrollment historically and creates the destination enrollment. Use for mid-cycle section changes.

Review before reassigning

Reassignment changes current placement while preserving historical academic data. Review source and destination sections, transcript exclusion, attendance treatment, and required assessment accommodations before confirming.

About percentage attendance transfer

A percentage-only attendance transfer is an administrative approximation, not real session history. It creates generated destination records marked as TRANSFER_PERCENTAGE, stores the source percentage and reason, and keeps them audit-distinguishable from teacher-marked attendance.

  1. 1After transfer, confirm the student appears in the destination section roster.
  2. 2Review whether the source section should be excluded from transcript GPA and merit.
  3. 3Review previous-section attendance in the source section and future attendance in the destination section.
  4. 4Review transfer-created exemptions for destination assessments before the transfer date.
  5. 5Check the transcript preview before finalizing grades.

Copy-forward

Copy-forward carries selected setup from one academic cycle into another. It helps admins prepare a new cycle without rebuilding every section and related item from scratch.

  • Admins choose the source cycle and target cycle.
  • Sections and teacher assignments are copied so the new cycle has usable class shells.
  • Official weekly schedules can be copied with teacher and room conflict checks.
  • Course materials can be copied when they are still appropriate for the new class.
  • Assessments, grades, submissions, and attendance sessions are not copied forward.
