Automatic Teaching Schedules

Generate missing weekly lessons, review the draft, and apply an approved timetable.

Before you start

Open Schedules, choose Teaching schedule plans, then choose Generate teaching schedules. Org Admins can work across departments; Sub Admins work within their assigned departments. Scheduling access must be enabled. Generation prepares a private draft: teachers and students continue using the existing timetable until you apply the reviewed plan.

  • Choose a draft or active academic cycle with valid start and end dates.
  • Assign exactly one teacher to each section you want to generate. Sections with no teacher or several teachers need manual scheduling.
  • Check student enrollment, department buildings, usable rooms and room capacity.
  • Check existing lessons. They remain fixed and count toward the weekly teaching time.

Create and generate a plan

  1. 1Scope: select the academic cycle, departments and sections. Review sections that need manual setup before continuing.
  2. 2Teaching week: choose the cycle time zone, teaching days, opening and closing times, period length and breaks. All lesson times use this cycle time zone.
  3. 3Requirements and resources: set weekly teaching time and session duration. Automatic adjustments are enabled for new plans: a shorter final session keeps the weekly total exact. Turn them off to require whole sessions at the chosen duration. Choose consecutive, separate or mixed sessions and a day distribution preference. Set daily teaching limits, room choices and optional unavailable times.
  4. 4Review: inspect workload, resource choices and exclusions. Save and generate to open the draft workspace; wait for generation to finish.

Shared defaults keep setup short. Override individual sections only when their teaching time, session duration or room needs differ. The generator uses the section’s assigned teacher. It prefers the section’s default room, supports a section room override, and can use the selected fallback rooms when needed.

Existing lessons stay fixed

Generation fills only missing weekly teaching time. Existing recurring official lessons count toward that target; dated lessons block conflicting times but do not replace the weekly requirement. Generation does not replace, move or delete existing schedules. If recurring lessons already exceed the requested weekly time, adjust the requirement or change those lessons through the normal schedule editor.

Review and adjust the draft

  1. 1Check coverage and conflicts, then inspect the table or weekly views by section, teacher or room. Fixed lessons are shown alongside the proposed lessons.
  2. 2Add a missing session, edit its day, start time or room, or delete an unwanted draft session. Session duration normally follows the section requirement; with automatic adjustments enabled, a shorter session can fill the remaining time.
  3. 3Pin draft sessions you want to keep. Regenerate to search again while keeping pinned sessions and existing lessons fixed; unpin a session when it should be movable.
  4. 4Validate after your edits. Resolve blocking conflicts and missing teaching time, and review any preference warnings before applying.

Hard checks prevent overlapping lessons for teachers, rooms and students, unsuitable rooms, breaks and unavailable times. Relevant physical exams and published exam room and duty assignments also block conflicting teaching times. The generator first tries your session arrangement and day preferences, then uses a feasible arrangement when automatic adjustments are enabled. Review the explanation of any shorter sessions or relaxed arrangement. Weekly totals, daily limits, availability, capacity and conflict checks remain strict.

When generation leaves gaps

A partial result means the search did not find a complete timetable within the available choices and search limit. Add eligible fallback rooms, widen the teaching week, relax optional preferences, or adjust fixed lessons. You can also complete the draft manually. It does not prove that no possible timetable exists.

Apply, recover and revisit

Apply becomes available after current validation confirms all required teaching time is covered with no blocking conflicts. Applying adds the draft lessons to the official timetable in one operation. Existing lessons remain intact. Teachers and enrolled students then see the added lessons through their usual timetable and attendance workflows.

  • If teaching assignments, enrollment, rooms, exams or existing schedules change, review and validate the plan again before applying.
  • If saving succeeds but generation cannot start, open the saved plan and retry generation. You do not need another plan.
  • Cancel an unnecessary draft from the workspace. Applied and cancelled plans remain available as history; changes to applied lessons use the normal schedule editor.
  • If a section is removed or leaves the plan’s department scope, open Edit configuration and remove it before continuing.
  • Closed cycles are read-only. Generation supports lessons that start and end on the same day; use manual scheduling for arrangements outside this workflow.
