Exam Operations
Prepare rooms, seating and invigilator duties for physical Midterm and Final exams.
Prepare an exam plan
Exam Operations organizes physical Midterm and Final exams. It does not create assessments or enter grades. Org Admins can manage all departments; Sub Admins work within their assigned scope. The Exam Operations feature must be enabled.
- 1Create or check the physical exams in Assessments, including their sitting times. Published and scheduled exams are eligible; draft assessments are excluded.
- 2Open Exam Operations and create a plan. Select its academic cycle, department scope, exam type and operating time zone; review the exam and candidate totals.
- 3Choose buildings and rooms. Department buildings and their rooms are selected by default. Use each building’s select-all controls and expand resource cards to set availability. Select invigilators and their availability.
- 4Choose seating and duty preferences, then review and create the plan. Use Help in the creation page for additional guidance.
Generate, review and publish
- 1Generate seating and duties from the plan workspace. A draft without generated assignments is not a ready seating plan.
- 2Review Overview, Seating, Duties and Conflicts. Resolve missing rooms, capacity problems, student clashes and invigilator conflicts.
- 3Edit assignments and pin choices that should remain fixed. Regenerate the appropriate part of the plan when needed, and validate the updated assignments.
- 4Publish a validated revision when ready. Use the available roster, print and export actions for exam-day preparation. Complete the plan after the exams, or cancel a plan that is no longer needed.
Changed inputs need another review
Changes to exam times, candidates or resources can make a revision stale. Review and validate or regenerate before publishing. Exam assessment publication and seating-plan publication are separate actions. Seating plans generate when you request them; only scheduled assessment publication runs automatically.
The department setting for student exam visibility hides published Midterm and Final assessments from student assessment views. Other assessments remain visible, and grading and Exam Operations continue normally.
