Students
Manage student profiles, major programs, enrollment, cohorts, progression, academic history, and portal visibility.
Student records
Student records combine account information, academic placement, cohort membership, enrollments, attendance, grades, submissions, finance entries, and transcript history.
- Active students can be enrolled in sections and included in cohorts.
- Deleted or archived students remain relevant to historical records and should not be confused with transcript deletion.
- Student portal views are scoped to the signed-in student unless the user has a permitted administrative or teaching role.
Academic placement
Academic placement decides where a student appears in class lists, attendance sheets, grade workspaces, timetable views, finance records, and transcripts.
- Cohort placement is useful when a whole group should move through the same academic cycle together.
- Individual section placement is useful when one student needs a class outside their cohort setup.
- Student profile editing does not change placement. Use the dedicated enrollment management page from the student record to change cohort or section enrollment.
- Changing placement can affect what the student sees in their portal, so review the cohort and section list before confirming enrollment changes.
Major program
A major is the student durable enrollment in a program. It defines the primary department and preserves the exact program configuration and curriculum assigned at admission.
- Assign the major while admitting the student or from Manage Enrollment.
- A student can have only one open major at a time.
- Changing the major uses a transfer action and keeps the previous program history.
- Removing the major requires an explicit withdrawal and reason.
- Later changes to the program do not rewrite the student admitted cycle plan.
- Do not manually change the primary department to simulate a program transfer.
Program progression

Progression is explicit
Moving an institute academic cycle to Completed does not automatically resolve student stage enrollments.
Enrollment history
Enrollment history allows transcripts and academic reports to show where a student studied during each academic cycle, even after reassignment or section changes.
- Use cohort placement for the normal class group.
- Use individual section placement for exceptions, transfers, or extra classes.
- Avoid removing historical context just to clean up a current view; old enrollment data may explain transcript and attendance history.
- When a student is removed from a section with grades, decide whether that historical section should be excluded from transcript GPA, CGPA, rank, and merit.
- If the student is moving to another section, use the transfer or reassignment utility instead of removing and then adding the student manually.
