CSV Imports

Import people, academic setup, rooms, and monthly attendance with templates, validation, and error reports.

Import flow

  1. 1Open the module that supports CSV import and choose the Import CSV action on that page.
  2. 2Download the template from the import modal. Keep the header row exactly as provided.
  3. 3Fill one record per row. Leave optional fields blank when they do not apply.
  4. 4Validate the CSV before importing. Validation checks headers, required fields, duplicates, formats, and linked records.
  5. 5Review valid and invalid row counts. Download the error CSV when rows need correction.
  6. 6Import valid rows, then refresh or review the module list.

Strict headers

CSV headers must match the template exactly. Renaming, reordering into unknown columns, or adding unsupported columns can make validation fail.

Relationship fields

Code columns connect the imported row to records that already exist in the school workspace. Use the human-readable codes shown on list and detail pages instead of database IDs.

  • departmentCodes accepts multiple department codes separated by semicolons.
  • primaryDepartmentCode, departmentCode, buildingCode, courseCode, academicCycleCode, defaultRoomCode, and cohortCode must belong to the same organization.
  • Create departments, buildings, courses, academic cycles, cohorts, and rooms before importing records that reference them.
  • Use STANDALONE with blank program columns, or PROGRAM_MAPPED with matching programCode, curriculumCode, and stable stageCode. A cohort placement requires cohortCode plus cohortAcademicCycleCode; major admission does not require a cycle.
  • Use buildingCode for room imports. Do not paste database IDs into navigation or CSV fields.
  • Read the Identification Codes page for examples such as SCI, MAIN, ROOM-101, 2026-SPRING, GRADE-9, MATH-101, and GRADE-9-A.

Monthly attendance import

Import monthly attendance CSV from a section attendance page. The template contains name, rollNumber, and one column for each day in the selected month.

  • Choose the year and month before downloading the attendance template.
  • Choose whether marks should target the first official scheduled session or all official scheduled sessions owned by the importing teacher.
  • Managers and teachers can import attendance only for schedule slots they own through schedule teacher assignment.
  • Org Admins and Sub Admins can review attendance but cannot import attendance marks.

Fixing errors

  • Use the error CSV to find the original row number and field message.
  • Fix duplicate emails, registration numbers, roll numbers, department codes, building codes, or room names before validating again.
  • Check date formats when admissionDate, graduationDate, or joiningDate fails validation.
  • Use valid status values from the downloaded template examples.
